Job Description:
The administrative assistant’s primary goal is to guarantee efficient service delivery at the suboffice.
Alongside the administrative assistant, the HR/Admin Officer and support services manager will facilitate the execution of HR services.
The administrative assistant helps the administrative/HR officer and the team leader with the seamless execution of their HR and administrative duties at the suboffice.
Their job includes documentation, absenteeism, performance reviews, and information on pay and benefits. It is often distinctly administrative in character.
Accountabilities:
- Recognize standard HR rules, practices, and processes; assume main accountability for managing HR and administrative tasks in accordance with the DRC Operations Handbook.
- To guarantee efficient administration and information management, make sure that all administrative and human resources paperwork is current.
- On the first day of reporting, make sure the new team member has the necessary tools (computer, phone, desk, email addresses, identity cards, etc.).
- Induction/onboarding: Coordinate with other departments to plan all newly hired employees’ onboarding during the first week of employment, according to predetermined protocols.
- Put rules in place about things like performance, equal opportunity, and working conditions.
- Scan administrative and human resources-related papers, then arrange them into an electronic repository.
- maintaining accurate staff attendance and leave records, as well as tracking staff attendance and request forms.
- Examine, scan, and electronically file the timesheets each month.
- keeping track of and tracking every communication, both in and out
- Office administration, including maintaining a tidy and professional appearance of the workspace and guest residences
- Carry out any additional responsibilities given by the supervisor that are pertinent to the position and ability.
- Write, organize, and complete official communication on a daily basis. Keep track of letters received and sent.
- Observe office/residential supplies, stationery, and cleaning supplies.
- to be in charge of setting up, creating, maintaining, and updating the field offices, buildings, networks, associated applications, and services across the whole DRC region.
- to implement security measures for the files on the system.
- debugging networks and systems.
- identifying and fixing software and hardware issues.
- Internet service provider is the focal point for all DRC infrastructure
- fixing issues with operating systems.
- Changing out computer hardware as needed
- provide procedural documentation together with supporting material.
- using written instructions and diagrams to fix a problem or configure a system.
- executing network programs for user and system support.

- Testing and assessing novel technologies
- Conducting electrical safety checks on computer equipment
- Scheduled backups and device storage in addition to ensure the administration and safety of web-based cloud storage.
- Plan site visits based on the need in coordination with SSTL.
- DRC IT policy is updated and approved by CD, also ensure the all staff are following IT policy.
